Overview / Responsibilites

Massy Wood is currently recruiting for a Vessel Admin / Logistics Coordinator with some experience in the Oil & Gas industry.

 

The Vessel Admin / Logistics Coordinator is responsible for providing the appropriate Logistics support for materials movement, personnel movement, equipment services, coordinating and planning services, in support of project activities during the planning and execution phases, taking account of company procedures and of contract objectives to comply with agreed project plans and schedules.

 

  • Ensures that all equipment (client, rental/contractor and or Massy Wood owned) to be used on the facilities so required are certified to operate. (Explosion proof electrical systems, spark arrester exhaust systems, belt and fan guards in place, etc.)
  • Utilize company systems and applications coordinating the required logistics and expediting materials and equipment.
  • Completion of International Marine Dangerous Goods (IMDG) documentation for such items/materials requiring same prior to its movement.
  • Ensures the efficient utilization of CCUs & Baskets (effecting expeditious offloads and the return of these units whilst keeping updated records of these units’ movements (CCU Management Tracker).
  • Liaise with relevant Company personnel and Client onshore and offshore asset-based operations and project.
  • Liaise with the relevant Company and Client representatives to confirm check in and check out times for mobilization and demobilization of materials to ship via heliport, flight times/dates respectively and arrange the necessary transportation.
  • Maintain all records and documentation, both electronic and manual to auditable standards.
  • Coordinate the delivery/return of material and equipment between warehouse, client/client representatives, vendors, and offshore platforms.
  • Responsible for assessing cargo to be shipped to determine CCU requirement and its subsequent availability for packaging.
  • Ensure the efficient utilization of CCUs & Baskets (effecting expeditious loadouts, offloads and the return of these units whilst keeping updated records of these units’ movement).
  • Ensure that certification for Massy Wood owned CCUs are always up to date as well as scheduled maintenance activities by responsible parties.
  • Maintain ongoing CCU and equipment tracker for all Massy owned and rental units dispatched to various sites.
  • Coordinate verification of cargo through customs prior to delivery at Quayside
  • . Submission of Customs invoices to Finance Department and follow up to ensure timely payments
  • Work closely with SCM and Finance for validation of all CCU supplier invoices prior to payment.
  • Manage all transport requirements through third party transport provider and resolve any issues that may arise.
  • Ensure that the necessary PO coverage for transport, CCU rental and equipment repair/ certification are always maintained.
  • Schedule premobilization and CTE inspection of all CCUs & equipment with both Massy personnel and third-party provider.
  • Submission of monthly Call of Note report (for all CTE inspections) to Shell Logistics personnel
  • Responsible for ensuring that the certification of all tools and equipment are update prior to dispatch to site.
  • Monitor all costs associated with logistics activities and provide initiatives for cost control/reduction.
  • Ensure all HSSE standards for logistics activities are maintained.
  • Perform all other job-related functions as required. 

 

Qualifications

  • Technician’s Diploma or associate degree in engineering, Business Management or related field.
  • At least three (3) years’ experience in similar role in the Oil and Gas Industry.
  • Ability to work effectively, be flexible and make decisions which display sound and accurate judgment in a highly demanding environment with ever changing operational requirements.
  • Dangerous Goods Training.
  • Ability to synthesize complex or diverse information.
  • Includes staff in planning, decision-making, facilitating and process improvement; makes self-available to staff.
  • Seeks ways to improve and promote quality and demonstrates accuracy and thoroughness.
  • Ability to make decisions in a timely manner and exhibits sound and accurate judgment.
  • Maintains the highest level of confidentiality and trustworthiness.
  • Preference will be given to national citizens or permanent residents of Trinidad & Tobago.
